Intersourcing Speeds HR Processes for Spirit Mountain Casino and The Confederated Tribes of Grand Ronde
WESTON, Fla.--(BUSINESS WIRE)--Oct. 10, 2007--Ultimate Software
(Nasdaq:ULTI), a leading provider of end-to-end strategic human
resources, payroll, and talent management solutions, announced today
that The Confederated Tribes of Grand Ronde and their Tribally owned
Casino, Spirit Mountain Casino, have improved efficiencies, eliminated
reliance on internal IT resources, and enhanced reporting and
recruiting using UltiPro delivered through the software-as-a-service
model Intersourcing.
The Grand Ronde Tribal Government and Spirit Mountain Casino are
separately managed organizations that work cooperatively with each
other. Previously, both organizations used service bureaus for payroll
and a separate in-house product for human resources management. After
collaborative due diligence, the Tribe and the casino decided to
switch to an integrated end-to-end HR, payroll, and benefits
application with workforce analytics and easily accessible reporting.
They selected Ultimate Software's UltiPro and went "live" on
Intersourcing in January 2006. Since then, they report benefiting
from:
-- UltiPro's library of hundreds of reports for administrative
and strategic needs
-- UltiPro's integrated core HR and payroll functionality, along
with UltiPro Recruitment for its paperless "green" initiatives
-- The convenience of software-as-a-service
In addition to gaming, the approximately 1,500-employee Spirit
Mountain Casino houses a hotel and restaurants, including Legends, a
casual bar, a cafe, a buffet, and several food kiosks. In its research
of HR management systems, the Casino found that Ultimate Software's
solution, with an estimated payback of less than 24 months, would be
much more cost effective than the service bureau it had been using.
Since going "live" on Intersourcing, Spirit Mountain's HR team has
already experienced some savings in the form of streamlined reporting,
a new paperless initiative, and decreased administrative, tactical
duties due to UltiPro's Manager Self-Service, Employee Self-Service,
and Recruitment.
"Reporting is so much faster and relevant now that we have
UltiPro. Previously, the reports from the service bureau were often
outdated and weren't always correlated with the data from our HR
system, so we had to compare the results and reconcile them," said
Candy Scranton, HRIS manager for Spirit Mountain Casino. "UltiPro's
reporting is point-in-time and very flexible, so I can get what I need
quickly. I used to spend two and a half months putting together
benefits statements for employees. It's been a life-saver for me to be
able to run very complete total compensation reports for employees in
less than a day."
Automating many manual processes with UltiPro's Web-based feature
sets has resulted in additional time savings for the Casino because
transactions can be conducted online rather than with forms. Many
processes that used to require paperwork, such as creating employee
job requisitions, can be done electronically with UltiPro using
built-in workflow that routes information to the appropriate approver.
Job applicants can apply for open positions online, with the entire
process handled via UltiPro. Spirit Mountain Casino already scans and
stores applicant resumes in UltiPro and, by the end of the year, the
HR team plans to have all employee personnel files scanned and stored
in UltiPro so the documents are more accessible to administrators,
managers and executives using UltiPro's online access.
The Confederated Tribes of the Grand Ronde also leverages
UltiPro's HR functionality to expedite cumbersome processes that were
inefficient and used to result in data integrity issues. UltiPro's
Wizards walk the users through detailed processes, like inputting new
hires, rehires, and terminations, to make sure they do not omit a step
or finish without fully completing necessary fields.
"The Wizards in UltiPro were a huge hit with our HR team," said
Trevor Aaron, IT director for The Confederated Tribes of Grande Ronde.
"We re-hire a fair amount of our employees, and with UltiPro, it is a
breeze. Before, we had to enter returning staff as if they were new
employees every time, so they had multiple employee numbers, W-2s,
etc. UltiPro has simplified that process for us dramatically."
Aaron has seen his own schedule eased by Intersourcing because,
rather than focusing on an HRMS, he has time to focus on other
projects that are more critical to the operations of The Confederated
Tribes of Grande Ronde. Ultimate Software manages the IT
responsibilities associated with UltiPro for its Intersourcing
customers so they do not have to handle upgrades, backups, hardware,
or system maintenance.
"I have enough on my plate without having to factor in time to
support an HRMS," said Aaron. "Intersourcing takes the pressure off me
because, rather than managing an upgrade or making hardware
improvements, I just need to watch for notifications from Ultimate
Software that things are done. I am very happy with Intersourcing."
"We are pleased to see organizations with employee management
intricacies like a tribal government and a casino achieving business
value so quickly," said Greg Swick, senior vice president of sales for
Ultimate Software. "They are representative of the many new customers
who tell us the benefits of unifying all of their HR-related
management into one holistic system."
